Job Description

Position Overview:

We are seeking a highly organized and enthusiastic Events and Marketing Coordinator to join our team. The successful candidate will support the Events and Sponsorship Manager in various capacities, ensuring the seamless execution of our diverse event portfolio. This role requires a background in event planning and marketing, with strong administrative and project coordination skills.

Key Responsibilities:

  • Event Administration & Coordination:
    • Assist in the planning and execution of VRCA events.
    • Coordinate logistics, including venue selection, catering, AV requirements, and transportation.
    • Manage event timelines and ensure all tasks are completed on schedule.
    • Create event registration pages
    • Collaborate with Events Manager for event tasks such as seating assignments, group placement, sponsor placement, and other support as needed.
    • Collaborate with internal and external stakeholders to ensure all event components are aligned.
    • Assist with budget tracking and expense reporting.
    • Lead planning on smaller events like mixers and member meet ups
    • Coordinate event marketing materials and communications.
  • Marketing and Promotion:
    • Work with marketing support to develop and execute marketing campaigns to promote events, utilizing social media, email marketing, and other channels.
    • Collaborate to create engaging content for event promotions.
  • Registration Management and Support:
    • Support event registration processes, including setting up online registration platforms.
    • Handle attendee inquiries and provide excellent customer service as required.
    • Maintain accurate registration records and prepare attendee lists.
    • In event registration and check in support
  • Database Management:
    • Update and maintain the association’s event databases.
    • Ensure data integrity and accuracy.
    • Generate reports and analytics on event participation and feedback.
  • In-Event Stage Direction and Script Running:
    • Assist with the coordination of event programs, including script writing and run-of-show documents.
    • Provide stage direction during events to ensure smooth transitions and timing.
    • Work with speakers, industry leaders, thought leaders and politicians supporting them in an event setting.
  • Sponsorship Outreach and Processing:
    • Support the Events and Sponsorship Manager in identifying and reaching out to potential sponsors.
    • Assist with the preparation and processing of sponsorship agreements.
    • Sales support for sponsorship and calls as required.

Preferred Qualifications

·        Bachelor’s degree in marketing, Event Management, Communications, or a related field.

·        Minimum of 5 years of experience in event planning, project management, and or marketing.

·        Strong organizational and multitasking skills.

·        Excellent communication and interpersonal skills.

·        Proficiency in social media platforms and marketing technologies.

·        Detail-oriented with a keen eye for accuracy.

·        Ability to work collaboratively in a team environment.

·        Sales skills and experience in sponsorship acquisition are a plus.

·        Enthusiastic and outgoing personality, with a passion for hosting and coordinating events.

Availability to work outside of office hours on an event-to-event basis.
